Set file policies

  1. In the left pane, click
    File
    .
  2. Set the
    General settings
    :
    1. To allow the upload of any file type (including types not protected by
      BlackBerry Workspaces
      ) including files uploaded via sharing, in the
      Upload files that cannot be protected
      section, select
      Apply to workspace files
      and
      Apply to sent files
      , as desired.
    2. To enable curtain mode on files uploaded to
      BlackBerry Workspaces
      and shared, in the
      Enable curtain mode
      section, select
      Apply to workspace files
      and
      Apply to sent files
      , as desired.
    3. Select
      Lock workspace name and description after creation
      to allow organization and super administrators only to edit workspaces and to block the ability to delete workspaces after they are created.
    4. To enable file locking in your organization, select
      Enable file locking
      .
    5. To enable file commenting in your organization, select
      Allow all organization members to make comments
      . If this option is selected, you can choose to
      Allow the content of comments to display in emails
      .
      Hiding the content of comments in email notifications is a good security practice because it prevents sensitive comments from being transmitted in plain text.
    6. When users upload files, if you want them to notify members of the workspace by default, select
      When users upload files to Workspaces, the option to notify members of the workspace is selected by default.

  3. Set the
    Offline Access Settings
    . Specify the number of hours that files are available for offline viewing.
  4. Set the upload and download restrictions for specific file types:
    1. Select
      Allow upload and sync of the following file types only
      , and enter the file types that users can upload and sync using the following format: *.file extension (for example, *.exe).
    2. Select
      Restrict upload and sync of the following file types only
      , and enter the file types that users cannot upload and sync using the following format: *.file extension (for example, *.exe)
    3. Select
      Limit upload and sync file size
      , and enter the maximum size, in MB.
  5. Set the
    File Retention
    settings:
    1. To move inactive workspaces to the Recycle bin after a certain amount of time, select
      Move inactive files to the Recycle bin
      in the
      Workspaces
      area, and enter desired the number of days after which to move the workspace.
    2. To move inactive files from the Sent items to the Recycle bin after a certain amount of time, select
      Move inactive files to the Recycle bin
      in the
      Sent items
      area, and enter desired the number of days after which to move the files.
    3. To permanently delete files stored the Recycle bin after a certain amount of time, select
      Permanently delete files stored in the Recycle bin
      in the
      Recycle bin
      area, and enter desired the number of days after which to delete the files.
  6. To set the
    File versions
    settings, select one of the following:
    • To limit the number of versions saved for each file, select
      Maximum number of versions saved for each file
      , and enter the maximum number of file versions.
    • To set the number of daily, weekly, and monthly, versions saved for each file, select
      Number of versions saved daily, weekly and monthly
      , and enter the maximum number of file versions. The number of daily, weekly, and monthly versions are set and counted separately:
      • Daily
        - This setting specifies the number of daily versions for each file. Each day, only the latest version of that day will be saved, and the rest will be deleted. For example, if it is set to "3", only the latest versions from the last 3 days will be saved, and the rest will be deleted.
      • Weekly
        - This setting specifies the number of weekly versions for each file. Each week, the latest version of the week will be saved (Sunday until Saturday).
      • Monthly
        - This setting specifies the number of monthly versions for each file. Each month, the latest version of the month will be saved.
      At the end of each day, week, and month, a version will be saved and counted even if there were no changes during that period.
  7. Set the
    File Acknowledgement
    settings:
    1. Select
      Enable read acknowledgement
      to have the Require read acknowledgement check box appear when users create new workspaces or send files.
    2. Select
      Require read acknowledgement by default
      to make Require read acknowledgement the default setting.
  8. Click
    Apply changes
    .
