Share a workspace, folder, or file

  1. To the right of a workspace, folder, or file, tap 
    And_menu icon
    Share workspace / folder / file
    .
  2. In the 
    Share with
     area, select one of the following options:
    Users 
    To manually add recipient email addresses, enter the email addresses of the intended recipients.
     To select contacts from your device's contact list, tap the add contacts icon and select the contacts that you want to share the file with. When you are finished, tap 
    Done
    .
    Optionally, you can type a message in the 
    Message
     box.
    Existing group
    Type a group in the 
    Add group
     field or click the add contacts icon and select a group name. Only permitted groups display in the list when you start to type.
    To manually add recipient email addresses, enter the email addresses of the intended recipients in the 
    Add members
     field. Note that adding a user to an existing group grants the new user access to all files the selected group is permitted to access.
     Optionally, you can type a message in the 
    Message
     box.
    New group
    Type a group name. Optionally, add a group description, group members, and a group message.
    Email domain
    Type a domain name.
    Active directory group
    Type a group name.
  3. To notify users that the workspace or folder has been shared, turn on 
    Notify members
    .
  4. Tap 
    Edit
    .
  5. In the 
    Role
     area, tap And_menu icon and select the desired role. For more information, see Roles.
  6. In the 
    Permission
     area, tap And_menu icon and select the desired access level. For more information, see Permissions
     The 
    Advanced Rights Management
     permissions set is available for 
    BlackBerry Workspaces
     Enterprise ES Mode and 
    BlackBerry Workspaces
     Enterprise ES (Restrict Full Access) Mode only. For more information, contact your administrator.
  7. In the 
    Expiration
     area, tap And_menu icon and select the time when the file will no longer be accessible by members. Select a specific date, a time period from the list, or never. If you select 
    Specific date
    , specify the date and time.
  8. To ensure that workspace files appear with a watermark in all workspace viewers, turn on 
    Watermark
    .
    When watermarks are turned on and permissions are set to 
    Full access
    , watermarks are displayed in 
    Workspaces
     viewers on all files. When permissions are set to any of the 
    Download protected
     permissions, and files are downloaded, watermarks only display on PDF files and do not display on Office files opened in their native applications. Watermarks are set according to organizational policy. 
  9. To allow permitted users to post and view comments in the file comments panel, turn on 
    Commenting
    .
