Email settings

The following table lists the email settings that can be applied to email messages. Some settings are only available if enabled by your administrator.

Item

Description

Email signatures

Create multiple custom email signatures, set one as your default for outgoing messages, and choose a different signature when composing messages or replies. For more information, see Manage your signatures.

Fonts

Change the font and color of your message text in the Use Custom Fonts screen in BlackBerry Work Settings. If your administrator has specified a font type and size for the organization, that font and size is used in outgoing email messages. You can override the organization's font policy. For more information, see Change BlackBerry Work for Android settings.

Email restrictions

Choose any desired restriction (Permissions option in Outlook) to your email.

Email classifications

Email classifications are defined by your administrator. If your administrator requires classifications on all emails, the set classifications take precedence. If your administrator allows it, you can configure default classifications in Settings > Email. Classification options vary by organization.

Mention users in emails

In the message body, type @ and begin typing the user's name or address, then select the user from the available matches. Users that you mentioned using the @ are automatically added to the To field.

AI-powered writing tools

If your administrator has enabled Smart Tools, you can apply the writing tools to the entire email or to a highlighted section of your email. Writing tools run entirely on-device. By default, if no text is highlighted, the writing tools apply to all the written text in the email.

  1. Tap Writing tools icon.
  2. Do any of the following:
    • To rewrite the email while maintaining the current tone, tap Rewrite icon.
    • To proofread the email for spelling and grammar, tap Proofread icon. A badge count displays the number of suggested changes.
    • To rewrite the email in a more professional tone, tap Professional tone icon.
    • To rewrite the email in a casual tone, tap Casual tone icon.
    • To create a shorter version of the email without changing the tone of the message, tap Concise icon.
  3. Tap Replace to implement the changes. The changes apply to the entire email body or only to highlighted text, depending on your selection.

Email summarization

AI-powered email summarization are processed entirely on the users' device using the Google Gemini Nano on-device AI model. To view a concise summary of key points without reading the full thread, tap the Summarize button above the email message. Summaries persist on your device and remain available whenever you open the email thread.
