Create and manage emails

  • Note that some of the features described in the following table are available only if enabled by your administrator. For more information about available email settings, see Email settings.
  • To use AI-powered Smart Tools (Writing Tools and Email Summarization), verify that you are using a device that supports Google Gemini Nano. If necessary, you will be prompted to download Gemini Nano models to your device before your initial use of the Smart Tools. Follow the on-screen instructions to complete the download.
  • To convert emails to notes and tasks, verify that you have BlackBerry Notes and BlackBerry Tasks, respectively.

Steps

Create an email

  1. Open a new email. Do one of the following:
    • From the device home screen, long press the Work app. Tap New email.
    • From your inbox or any folder, tap Compose email icon.
    • From your Contacts, tap a recipient's email address.
  2. In the From field, tap the down arrow to select which email address or email alias to send the email message from.
  3. In the To field, type the recipients' name. Optionally, expand the To field and add recipient addresses to the CC, Bcc fields.
  4. Type a subject.
  5. Optionally, tap Menu icon and add links, set priority, and add meeting invitations.
  6. Optionally, tap Paperclip icon and add attachments.
  7. Optionally, apply a desired restriction.
  8. Optionally, apply a desired classification.
  9. Optionally, if a default signature is not set or you want to use a different one, tap Signature icon and select a signature. For more information, see Manage your signatures.
  10. Type your message.
  11. Optionally, to refine your message using AI-powered writing tools, tap Smart tools icon and select a writing tool.
  12. Tap Send icon.

Reply to or forward an email

  1. Open the email that you want to respond to.
  2. Optionally, if the received email is long, tap Summarize icon to generate a concise summary of the email message.
  3. Do one of the following:
    • To reply to the sender, tap Reply to icon.
    • To Reply all or Forward, tap Menu icon and then tap the action that you want complete.
  4. Optionally, tap Menu icon and add links, set priority, and add meeting invitations.
  5. If you want to add your response inline, swipe up in the email and tap Respond Inline. If the discussion thread display has been disabled, it will be re-enabled.
  6. Optionally, tap Paperclip icon , select a source location, and complete the on-screen instructions.
  7. Review the pre-filled recipients, subject, and message thread.
  8. Optionally, if a default signature is not set or you want to use a different one, tap Signature icon and select a signature. For more information, see Manage your signatures.
  9. Type your reply.
  10. Optionally, to refine your message using AI-powered writing tools. Tap Smart tools icon and select a writing tool.
  11. Tap Send icon .

Encrypt an email

You can send an encrytped email to a distribution list. BlackBerry Work retrieves certifcates from BEMS and Microsoft Exchange. Recipients for which BlackBerry Work cannot find certificates are unable to read the message. When you send S/MIME encrypted messages to distribution lists that contain more than 100 email addresses, BlackBerry Work makes certificate requests in batches of 100 to BEMS.

When you compose the email, make sure that you set the restrictions and tap Sign and encrypt message.

Convert an email to a note

You cannot convert emails that are protected by S/MIME encryption or Microsoft Exchange Information Rights Management (IRM). Shared mailboxes are not supported. Attachments cannot be added to a note.

Do one of the following:
  • In the email list, swipe left and tap More > Create Note.
  • In the email list, swipe right and tap Create Note.
  • In an open email message, tap Menu icon > Convert to note.

Convert an email to a task

You cannot convert emails that are protected by S/MIME encryption or Microsoft Exchange Information Rights Management (IRM). Shared mailboxes are not supported. Attachments cannot be added to a task.

Do one of the following:
  • In the email list, swipe left and tap More > Create Task.
  • In the email list, swipe right and tap Create Task.
  • In an open email message, tap Menu iconFlag icon > Convert to task.

Convert an email to a calendar event

  1. Open the email you want to convert.
  2. Tap Flag icon > Invite to meeting.
  3. Optionally, tap > tap a source location, and complete the on-screen instructions.
  4. Tap Save.

Flag an email

You can mark email messages as important to make them easy to find in a long list.

Do the following:
  • In an open message, tap Menu iconFlag icon > Add flag.
  • To add a flag to a single email in the message list, press and hold the message, then tap Menu iconFlag icon > Add Flag.
  • To flag multiple emails, press and hold the first message, select additional messages, then tap Menu iconFlag icon > Add flag.

Move emails to folders

You can create new folders in your mailbox using Microsoft Outlook on your work computer or BlackBerry Work on your device.

Do one of the following:
  • In an open email, tap Folder icon and tap the destination folder.
  • To move an individual email to a folder, press and hold the email that you want to move, then tap Folder icon and tap the destination folder.
  • To move multiple emails from the email list, press and hold the first email, then tap additional emails. Tap Move to icon and tap the destination folder.

Delete an email

When you delete an email, it is moved to the Deleted items folder. It is not permanently deleted.

Do one of the following:
  • In an open email, tap Trash.
  • To delete a single email in the email list, swipe the message left or right and tap Trash.
  • To move multiple emails from the email list, press and hold the first email, tap additional emails and tap Trash .

Permanently delete an email

  1. In the email list, tap Hamburger menu icon > Trash.
  2. Select the emails you want to delete and tap Trash.
