Create and manage emails

  • Note that some of the features described in the following table are available only if enabled by your administrator. For more information about available email settings, see Email settings.
  • To use AI-powered writing tools and email summarization, verify that you are using a device that supports Apple Intelligence and that you have enabled Apple Intelligence in your device settings.
  • To convert emails to notes and tasks, verify that you have BlackBerry Notes and BlackBerry Tasks installed.
  • To change your Mail settings, see Change BlackBerry Work for iOS settings.

Steps

Create an email

  1. Tap Compose email icon
  2. In the To field, type the recipients' addresses. Optionally, add recipient addresses to the CC, Bcc fields.
  3. Type a subject.
  4. Optionally, tap Menu icon and attach files, add links, set priority, and add meeting invitations.
  5. Optionally, apply a desired restriction.
  6. Optionally, apply a desired classification.
  7. Optionally, if a default signature is not set or you want to use a different one, tap Signature icon and select a signature.
  8. Type your message.
  9. Optionally, to refine your message using AI-powered writing tools, tap Smart tools icon and select a writing tool.
  10. Tap Send iconor save the draft (Cancel > Save Draft).

Reply to an email

  1. Open the email that you want to respond to.
  2. Optionally, if the received email is long, tap Summarize button to generate a concise summary of the email message.
  3. Tap Reply to icon and specify if you want to reply or reply all.
  4. Review the pre-filled recipients, subject, and message thread.
  5. Optionally, apply a desired restriction.
  6. Optionally, apply a desired classification.
  7. Optionally, tap Menu icon and attach files, add links, set priority, and add meeting invitations.
  8. Optionally, if a default signature is not set or you want to use a different one, tap Signature icon and select a signature.
  9. Type your reply.
  10. Optionally, refine your message using AI-powered writing tools. Tap Smart tools icon and select a writing tool.
  11. Tap Send icon or save the draft (Cancel > Save Draft).

Forward an email

  1. Open the email that you want to forward.
  2. In the To field, type field, type the recipients' addresses. Optionally add recipient addresses to the CC, Bcc fields.
  3. Optionally, tap Menu icon and attach files, add links, set priority, and add meeting invitations.
  4. Optionally, apply a desired restriction.
  5. Optionally, apply a desired classification.
  6. Optionally, if a default signature is not set or you want to use a different one, tap Signature icon and select a signature.
  7. Type a message.
  8. Optionally, refine your message using AI-powered writing tools. Tap Smart tools icon select a writing tool or email summarization.
  9. Tap Send iconor save the draft (Cancel > Save Draft).

Attach emails to a message

You can drag an email and attach it to the email that you are composing or replying to.
  1. In an email, tap and hold the bar at the top of the email message and drag it to the bottom of the screen.
  2. Tap and hold the email that you want to attach and drag it to the open email message at the bottom of the screen.
  3. Finish your message.

Encrypt an email

You can send an encrytped email to a distribution list. BlackBerry Work retrieves certifcates from BEMS and Microsoft Exchange. Recipients for which BlackBerry Work cannot find certificates are unable to read the message. When you send S/MIME encrypted messages to distribution lists that contain more than 100 email addresses, BlackBerry Work makes certificate requests in batches of 100 to BEMS.

When you compose the email, make sure that you set the restrictions and tap Sign and encrypt message.

Convert an email to a note

You cannot convert emails that are protected by S/MIME encryption or Microsoft Exchange Information Rights Management (IRM). Shared mailboxes are not supported. Attachments cannot be added to a note.

Do one of the following:
  • In the email list, swipe left and tap More > Create Note.
  • In the email list, swipe right and tap Create Note.
  • In an open email message, tap Flag icon > Create Note.

Convert an email to a task

You cannot convert emails that are protected by S/MIME encryption or Microsoft Exchange Information Rights Management (IRM). Shared mailboxes are not supported. Attachments cannot be added to a task.

Do one of the following:
  • In the email list, swipe left and tap More > Create Task.
  • In the email list, swipe right and tap Create Task.
  • In an open email message, tap Flag icon > Create Task.

Convert an email to a calendar event

  1. Open the email you want to convert.
  2. Tap Flag icon > Create Meeting.

Flag an email

You can mark email messages as important to make them easy to find in a long list.

Do the following:
  • To add a flag to a single email, in an open email, tap Flag icon .
  • To flag multiple emails, tap Menu icon > Edit, and tap the emails that you want to flag. Tap Mark > Flag.

Move emails to folders

You can create new folders in your mailbox using Microsoft Outlook on your work computer or BlackBerry Work on your device.

Do one of the following:
  • To move a single email to a folder, in an open email tap Folder icon and tap the destination folder.
  • To move multiple emails, in the email list, tap Menu icon . Select the emails you want to move, then tap Move and tap the destination folder.

Delete an email

When you delete an email, it is moved to the Deleted items folder. It is not permanently deleted.

Do one of the following:
  • To delete a single email, swipe left on the email and tap Trash.
  • To delete multiple emails, tap Menu icon, select the emails you want to delete, and then tap Delete.

Permanently delete an email

  1. In the email list, tap Hamburger menu icon > Deleted items.
  2. Tap Edit, and select the emails or tap Delete All to permanantly delete the emails.
