Set file policies

  1. In the left pane, click File.
  2. In the General settings section. Do any of the following:

    Allow the upload of any file type.

    This setting also applies to types not protected by BlackBerry Workspaces and files uploaded using sharing.

    In the Upload files that cannot be protected section, select the Apply to workspace files or Apply to sent files check boxes, or both.

    Enable curtain mode on files uploaded to BlackBerry Workspaces and shared.

    The curtain mode obscures documents when they are not actively being viewed

    In the Enable curtain mode section, select the Apply to workspace files or Apply to sent files check boxes, or both.

    Restrict editing of workspaces to Organization and Super administrators only, and block the ability to delete workspaces after they are created.

    Select the Allow only Organization Administrators and Super Administrators to change the name, description, and delete a workspace check box.

    Prevent users from updating a file in your workspace.

    Select the Enable file locking check box.

    Allow users to add new comments to files and view other users' comments.

    1. Select the Allow all organization members to make comments check box.
    2. Optionally, select the Allow the content of comments to display in emails check box.

    Notify workspace members when users upload files.

    Select the When users upload files to Workspaces, the option to notify members of the workspace is selected by default check box.

  3. In the Offline Access Settings section, specify the number of hours that files are available for offline viewing.
  4. To configure upload and download restrictions ions for specific file types, do any of the following:
    1. Select Allow upload and sync of the following file types only, and type the file types in the format: *.file extension (for example, *.exe).
    2. Select Restrict upload and sync of the following file types only, and type the file types in the format: *.file extension (for example, *.exe)
    3. Select Limit upload and sync file size, and type the maximum size, in MB.
  5. To configure File Retention settings, do any of the following:
    1. Workspaces: To move inactive workspaces to the Recycle bin after a specified time, select the Move inactive workspaces to the Recycle bin check box, and type the number of days after inactive workspaces are moved.
    2. Sent Files: To move inactive files from the Sent items to the Recycle bin after a certain amount of time, select the Move inactive files to the Recycle bin check box, and type the number of days before the inctive files are moved.
    3. Recycle bin: To permanently delete files stored the Recycle bin after a specified amount of time, select the Permanently delete files stored in the Recycle bin check box, and type the number of days before the files are deleted.
  6. To configure File versions retention settings. The file versions retention is run weekly. Do one of the following:

    Limit the number of versions saved for each file.

    Click Maximum number of versions saved for each file, and type the maximum number of file versions.

    Specify the number of daily, weekly, and monthly versions saved for each file.

    Daily, weekly, and monthly version counts are set and counted separately to control storage growth. Versions are saved and counted at the end of each day, week, and month, even if no changes occurred during that period.
    1. Click Number of versions saved daily, weekly and monthly.
    2. In the Daily field, type the number of daily versions for each file. For example, if you specify "5", the last 5 daily backups are saved, one is automatically designated as a weekly backup, and the rest are deleted.
    3. In the Weekly field, type the number of weekly versions for each file. For example, if you specify "4", the last 4 weekly versions are saved (Saturday to Sunday), one is automatically designated as a monthly backup, and the rest are deleted.
    4. In the Monthly field, type the number of monthly versions for each file. For example, if you specify "5", the last 5 monthly backups are saved.

    Setting daily versions to 5, weekly versions to 4, and monthly versions to 5 provides 14 distinct restore points.

  7. To configure File Acknowledgement settings:
    1. Select the Enable read acknowledgement check box to display the Require read acknowledgement check box when users create new workspaces or send files.
    2. Select the Require read acknowledgement by default check box to make the Require read acknowledgement the default setting.
  8. Click Apply changes.
If you configured file retention settings (step 5) for your on-premises environment, verify that the storage.maxItemsForRetentionTask setting is set in the System Properties. When this setting is not set, files stored in the recycle bin are not permanently deleted from the file server. For more information, see Permanently delete files from the file server.
